Managing Workflows with Reports


Prerequisites: See Workflows Designer Prerequisites for details.

In the Workflow Reports Manager, administrators can view content items added to workflows.

Administrators can perform the following actions:

  • Advance or remove content items in workflows.
  • Filter reports to display individual workflow information.
  • Export an Excel spreadsheet containing workflow reports information.

To manage a workflow with a report:
  1. Navigate to Administration > Workflows Designer.

  2. Choose one of the following steps:
    • Without selecting any workflows in the list, click Reports. A list of all pages, components, assets, and folders associated with workflows displays.
    • Select a workflow in the list and click Reports. A list of all pages, components, assets, and folders associated with the selected workflow displays.

    The Workflows list columns includes:

    Column NameDescription
    PageName of the content item assigned to the group.
    Tip
    Click the name to navigate to the content item.
    xIDID associated with the content item.
    SchemaSchema associated with the content item.

    This column displays to users in CMS 10.5.
    WorkflowWorkflow definition associated with the content item.
    Assigned ToCurrent user or group assigned to the content item.
    Last UpdatedDate when users last made changes to the content item.
    Last CommentComment that a user provided when they last advanced the content item in workflow.

    Tip
    Click a column header to alphabetize its data.

  3. Choose from the following actions:
    • Click Back to return to the table of workflows.
    • Select one or multiple items in the list and click Advance. Complete the remaining steps for advancing items in workflow.
      Note
      The Advance button becomes active if multiple selections associate with the same workflow and if the selected items can advance from their current workstate.
    • Select one or multiple items in the list and click Remove to withdraw the selected page(s) from the workflow. In the resulting dialog, confirm your selection.
    • Click the Select drop-down list and choose an individual workflow to display all associated pages, components, assets, and folders.
    • Click Export to download the displayed list to your computer as an Excel spreadsheet.
