Understanding Entity Hierarchy

Prerequisites: Users require site administrator permissions to complete the full scenario. If the site administrator has completed the initial tasks, the folio administrator can manage and upload content to entities.

Review the hierarchy of entities (i.e., folios, sub-folios, and modules) and entity items to learn how to navigate and manage each entity.

Entity Structure and Hierarchy

Folios use a tree hierarchy. Top-tier folios display and can be accessed in the main navigation menu. These folios are not nested within other folios. Each folio can contain its own modules and sub-folios. Sub-folios (i.e., child folios) are nested within top-tier folios. Sub-folios can also contain their own modules and sub-folios.

Folios and Sub-Folio Don't Share Modules

Folios and sub-folios don't share the same modules. For example, let's say the top-tier folio and its sub-folio both have Documents modules of the same name. If you upload a document to the Documents module in the top-tier folio, the document displays in the top-tier's Documents module and not the sub-folio's Documents module. The modules are of the same type, but they are separate entities that don't contain the same content.

Folio and Sub-Folio Manage Views Manage Different Content

Each folio, sub-folio, and module have separate yet similar management views. Use these management views to manage content, groups, permissions, and reports. Folio management views manage module content directly nested in the specific folio. This is the same for sub-folios.

You cannot use a parent folio's management views to manage modules that live its child folios. Navigate to the management view for the child folio manage the child folio's content.

Task 1: Creating Folio Hierarchy

Prerequisites: Users require site administrator permissions to complete this task.
Create a hierarchy within a folio.
To create a folio hierarchy:
  1. Log in to Cartella.
  2. Select module types to display by default in Settings > Modules.

  3. Create a folio.

  4. Create one or multiple sub-folios within the folio you created.

  5. Create at least one sub-folio inside a sub-folio.
  6. Optional: Create additional modules with the folios and sub-folios.

Task 2: Navigating Between Folios, Sub-Folios, and Modules

Use the breadcrumbs or folio navigation to get a sense of the entity structure.
To navigate between folios, sub-folios, and modules:
  1. Navigate to the top-tier folio. Note the breadcrumbs and the folio navigation that indicates which folio, sub-folio, or module you're viewing. Note that the main navigation changes from folios to the top-tier folio's nested modules. You are currently viewing the top-tier folio home view.

  2. Click a module in the Browse area. Note the main navigation, breadcrumbs, and the folio navigation. You are currently viewing a module nested within the top-tier folio. Use the navigation to go back to the top-tier folio.

  3. Click the sub-folio's name in the Folio Navigation area. Note the breadcrumbs and the folio navigation. You are currently viewing the sub-folio home view.

Task 3: Differentiating Modules in Separate Folios and Sub-Folios

Prerequisites: Users require senior contributor+ permissions to complete this task.
Note that a module in the parent folio and a module in the sub-folio of the same name are different modules and therefore don't contain the same content items.
To differentiate between modules in separate folios and sub-folios:
  1. Navigate to the top-tier folio.
  2. Navigate to a module inside the top-tier folio.

  3. Create a module item (e.g., upload a document). Note the breadcrumbs.

  4. Navigate to a module inside a sub-folio of the top-tier module. Note the breadcrumbs. The document created in the top-tier folio's module is not in the sub-folio's module because the top-tier and sub-folio Documents modules are of the same type but not the same module.

Task 4: Managing Folios, Sub-Folios, and Modules

Prerequisites: Users require folio administrator+ permissions to complete this task.
Understand which content folio, sub-folio, and module management views cover. This task is optional to obtain a sense of which content items are managed within the management views of the folio and its sub-folios and modules in the entity hierarchy.
Note
This task demonstrates which content items display in each Inbox view of the entity hierarchy as a concept. Logging out and logging in as a user with contributor permissions is optional.
To manage folios, sub-folios, and modules:
  1. Optional: Log out and log in as a user with contributor permissions to the folio structure you created in task 1.
  2. Create content for modules in the folio and sub-folio(s).

  3. Optional: Log out and log in as a folio administrator or site administrator.
  4. Navigate to the top-tier folio. Click Manage. Note that no items from the sub-folio modules display in the top-tier folio's inbox.
  5. Navigate to the top-tier folio. Click Manage > Modules. Note that modules and sub-folios directly nested in the top-tier folio display and no sub-folio modules or sub-folios within sub-folios display.
